The UC Irvine Center for Emeriti and Retirees (CER) serves as the official connection between retired UCI emeriti, faculty and staff, their respective associations, and the University. We recognize that our dedicated emeriti and retirees have worked tirelessly to contribute to the University’s mission and vision, and we value retaining these lifelong connections! That being said, we are looking for an upbeat and driven individual to assist in enhancing our center by supporting day-to-day activities, aiding in maintaining data, and overall general assistance for CER.

Qualifications:

Undergraduate student who is able to fulfill required 8-12 work hours per week with remote and/or in-office option (in-office space available Tuesday and/or Wednesday) and flexibility to work events as needed with advanced notice.

Candidate must have strong customer service skills (virtual and in-person) and be a great problem solver. Candidate should also possess typical administrative assistant skills including strong communication (written and verbal), organization, Microsoft Office, Google suite, telephone, and email etiquette, etc.

Candidate should have a passion for UCI and a strong knowledge of the campus and the academic calendar.

Candidate should have a strong work ethic, positive attitude and ability to work well within a team or independently based upon the project. 

Preferred but not required:

-Prior experience in data entry/maintenance within various programming such as excel/google sheets.

-Major and/or interest in a correlating field as it relates to the position.

Job Description:

Responsible for retiree customer services duties including but not limited to answering phones, directing calls, assisting with virtual and in-person meetings, event coordination, data entry, answering and/or forwarding emails to the appropriate contact – HR, CER Staff, RASC, etc.

Provides exceptional and professional customer service at all times. Ensures brand identity of CER is represented in communications with the public.

Maintains CER main phone line and email accounts. 

Assist with database management for events and maintains confidential records on retirees and emeriti.

Assist with special projects and other assignments such as mailings, data entry, photocopying, scanning, and filing. Perform inventory and order necessary program and event supplies. Assist in proofing and editing marketing pieces for programs and events.

Assist in CER key programs including but not limited to: Chancellor’s reception, Open Enrollment Fair, monthly Board Meetings, etc. Duties for these events may include preparing materials, staffing events, obtaining guest information, compiling attendance data, and assisting with money transactions for purchases. Assist in addressing constituent questions over email and in-person regarding CER programs, policies and RA and EA membership. 

Flexibility for event set up and breakdown, and other duties as assigned.
