Work-Study Position with UCI Graduate Division External Affairs
Job Title: Work-Study Program Support - Data Entry & Event Coordination

Job Summary: The UC Irvine Graduate Division is seeking an organized, detail-oriented, and proactive undergraduate student to support data entry and event coordination efforts for the 12twenty hiring platform. The ideal candidate will assist with maintaining accurate and up-to-date information related to graduate students and postdocs, contribute to the coordination of events, track attendance, and provide data insights. This position requires strong communication skills, both written and verbal, and the ability to work independently and as part of a team.
Key Responsibilities:
Data Entry:
- Update and maintain graduate student and postdoc profiles in the 12twenty system.
- Add and update events to the platform as they are scheduled.
- Track event attendance and provide relevant data outcomes using Excel spreadsheets.
Email & Communication Support:
- Respond to emails related to A2i Accelerate to Industry events and inquiries from graduate students.
- Ensure responses are clear, professional, and in line with the program's objectives.
Event Coordination Support:
- Create registration sign-in spreadsheets for events.
- Prepare nametags and other event-related materials using Microsoft Office programs (Word, Excel).
- Assist with other event-related administrative tasks as needed.
General Administrative Tasks:
- Maintain accurate records of event attendance, registration, and related data.
- Provide timely updates to the Graduate Division team on data, event outcomes, and communication needs.
Required Qualifications:
- Currently enrolled as an undergraduate student at UC Irvine.
- Strong proficiency in Microsoft Office Suite, especially Excel and Word.
- Excellent written and verbal communication skills.
- Ability to interact professionally and courteously over email and phone.
- High attention to detail and strong organizational skills.
- Ability to manage multiple tasks and meet deadlines.
- Ability to work independently and as part of a team.
- Must provide a current work-study award letter from UC Irvine's Financial Aid Office.
Preferred Qualifications:
- Previous experience with data entry or event coordination. (preferred but not required)
- Familiarity with 12twenty or other online hiring platforms. (not required)
- Experience working with graduate students or in an academic environment. (not required)

- Flexible hours based on work-study eligibility and departmental needs.
