Business Administrative Student Assistant

Position Type: In-Person, On-Campus

Availability: Academic Year and Summer

Important Note: This is NOT a student researcher position; it is a financial/administrative student assistant clerical role. Remote work is not available. 

Working Hours: Flexible student schedules consisting of at least 3-hour shifts, amounting to a commitment of 12-15 hours per week. Our general office hours are from 8 am to 4 pm. Please note that schedules are set quarterly, allowing for adaptability to individual class requirements.

Summary of Duties and Responsibilities:

The qualified candidate will play a vital role in providing general clerical and administrative support to the esteemed Advanced Power and Energy Program at The Samueli School of Engineering.

Key Duties:

  • Filing, scanning, and managing documents
  • Processing reimbursement requests
  • Low-value purchasing using the university palcard (credit card)
  • Handling incoming deliveries and processing shipping labels
  • Basic reconciliation of purchasing documents and ledgers
  • Running errands and making deliveries/pickups across campus
  • Assisting in organizing events
  • Undertaking other entry-level administrative duties as required

Skill Set/Qualifications:

  • Punctuality and reliability are imperative.
  • Excellent interpersonal skills.
  • Detail-oriented with strong organizational capabilities.
  • Demonstrated ability to maintain confidentiality.
  • Team player with effective collaboration skills.
  • Strong verbal and written communication abilities.
  • Physical capability to lift 30 lbs or less and make deliveries on campus.
  • Experience with the KFS financial system is advantageous.
  • Self-motivated with a proactive approach.
