Student Assistant

Student Assistant at the GPSRC (2026-27 Academic Year)

The Graduate and Postdoctoral Scholar Resource Center (GPSRC) is seeking a professional, welcoming, and dependable undergraduate student assistant with work study for the 2026-2027 academic year (to begin in the Fall quarter), to support daily front desk and administrative operations. As the first point of contact for visitors, this role is essential in creating a positive and supportive experience for students, postdoctoral scholars, faculty, staff, and campus guests.

We are looking for someone who is organized, proactive, communicative, and eager to develop professional skills in a collaborative office environment.

Position Responsibilities

Assist with daily operations of the GPSRC office, including but not limited to:

  • Greeting guests and visitors in a professional and welcoming manner
  • Checking students and guests into workshops, events, and appointments
  • Providing directions and assisting visitors with locating staff, events, study rooms, and campus resources
  • Answering phones, emails, and responding to general inquiries
  • Providing basic administrative support such as filing, printing, scanning, organizing documents, and data entry
  • Assisting with maintaining organized digital and physical office files
  • Monitoring and managing multiple office calendars and schedules
  • Using Microsoft Teams to communicate with staff and student employees
  • Assisting with event preparation, room set ups, and workshop logistics
  • Moving and arranging tables, chairs, and supplies for events and office activities
  • Creating basic flyers or promotional materials using Canva 
  • Supporting office opening and closing procedures
  • Maintaining a clean, organized, and professional office environment
  • Communicating effectively with supervisors regarding assignments, deadlines, scheduling, and office needs
  • Demonstrating initiative by identifying and completing tasks independently when appropriate
  • Completing other duties as assigned

Minimum Qualifications

  • Must be an enrolled undergraduate student during Fall 2026 at University of California, Irvine
  • Must have active Work-Study eligibility for the 2026-2027 academic year
  • Basic knowledge of:
    • Google Drive
    • Microsoft Word
    • Microsoft Excel
    • General computer skills
  • Strong punctuality, professionalism, and communication skills
  • Ability to work independently and collaboratively as part of a team
  • Ability to manage multiple responsibilities and meet deadlines in a fast-paced office environment
  • Comfortable interacting with students, faculty, staff, postdoctoral scholars, and campus guests
  • Ability to exercise discretion and maintain confidentiality
  • Willingness to learn and develop professional and administrative skills
  • Ability to lift and move tables, chairs, and event materials as needed for office and event set ups

Preferred but not required:

  • Prior administrative or customer service experience
  • Experience using:
    • Microsoft Office Suite
    • Google Drive
    • Canva
    • Social media platforms
  • Experience with event support or office operations
  • Familiarity with campus systems such as CampusGroups or 12Twenty

Schedule & Availability

  • Office hours are Monday–Thursday from 10:00 AM – 4:00 PM
  • Flexible scheduling available to accommodate class schedules
  • Shifts may be scheduled between classes, before classes, or after classes
  • If work is needed outside regular office hours, advance notice will be provided
  • Weekly hours are dependent on overall office staffing needs and student availability
  • A set amount of weekly hours is not guaranteed but will remain between 3-19 hours per week depending on all student assistants' availability
