This position is on-site at the UC Irvine School of Law in the Education Building. The student assistant will work up to 12 hours per week, typically in intervals of at least 2 hours per shift (2–4 hours/day preferred) during the academic year and summer sessions, with flexibility around class schedules. Candidates should plan to be consistently available throughout the year with no prolonged absences. UC Irvine Law operates on a semester system.

About the Role
The Alumni & External Relations team within the Development & External Relations Office at the University of California, Irvine School of Law seeks a motivated student assistant to provide administrative and event support.
The student assistant will report directly to the Associate Director of Alumni & External Relations, while also supporting other staff in the Development & External Relations Office as needed.
This role requires independence, attention to detail, confidentiality, and the ability to communicate professionally with a wide range of constituents.
Responsibilities may include:
- Scheduling meetings and assisting with calendar coordination for the Associate Director and/or team
- Processing employee reimbursements through UCI’s Kuali Financial System (KFS)
- Maintaining and updating contact/mailing lists in donor databases (Salesforce, Constant Contact, etc.)
- Printing, copying, scanning, typing, and filing (including sensitive or legal information)
- Assisting with donor acknowledgment letters
- Coordinating invitations and outreach for law school and legal community events
- Conducting research on legal/business individuals and entities
- Providing administrative support for other office projects as assigned
Event & Office Projects
Student assistants will play a hands-on role in supporting UC Irvine Law’s alumni and community events, as well as day-to-day office projects. Tasks may include:
- Mail merges and mailings – Preparing personalized communications such as donor acknowledgment letters, event invitations, and follow-up correspondence; assembling mailings for alumni and external audiences
- Guest list management – Compiling, updating, and cross-checking attendee lists for accuracy; tracking RSVPs; preparing sign-in sheets and rosters
- Event materials – Designing and producing nametags, table cards, seating charts, signage, and flyers; ensuring materials are printed, organized, and ready ahead of deadlines
- Day-of event support – Assisting with event set-up and clean-up, greeting and checking in guests, providing onsite logistical support, and helping troubleshoot as needed
- Marketing and communications support – Drafting or proofreading event flyers, helping coordinate social media-ready content, and ensuring branding consistency
- Follow-up tasks – Assisting with thank-you emails or mailings, entering attendance data, and other post-event wrap-up projects

Hours & Scheduling:
- 12–15 hours per week (2–4 hours/day preferred)
- Shifts must be scheduled in intervals of at least 2 hours
- Monday–Friday, 8:00 a.m.–5:00 p.m. (flexible scheduling around class commitments)
- Occasional evenings and weekends for event coverage, with advance notice

Skills & Qualifications
We’re looking for someone who is organized, reliable, and eager to learn. The ideal candidate will bring some of the following skills and interests, and will gain hands-on experience in a professional office setting:
What you’ll bring:
- Proficiency in Microsoft Word and Excel (required)
- Familiarity with Microsoft Teams, Outlook, and PowerPoint (preferred)
- Familiarity or comfort with design tools such as Canva for event flyers and promotional materials (preferred, not required)
- Strong attention to detail and accuracy
- Excellent communication skills — both written (proofreading, drafting emails/flyers) and interpersonal (welcoming guests, interacting with alumni and community members)
- Good judgment and respect for confidentiality
- Strong organizational and time-management skills
