Human Resources Student Assistant
The Human Resources department is seeking a dedicated Summer Student Assistant to join our team. This position will continue through the academic year, providing an excellent opportunity for long-term professional growth.
The Student Assistant is responsible for assisting the Workers' Compensation team review new injury incidents in the general mailbox, followed by sending out necessary email responses with the help of predefined templates. Setting up new workers' compensation claims and providing incident details to update the claim management system (iVOS) will also be integral to this role. The incumbent will use ServiceNow case management system to create new leave cases and manage the Workers’ Compensation and Leaves email box.
The successful candidate is expected to confidently answer and direct phone calls, including making calls to multiple departments, clinics, or supervisors as needed. The Student Assistant must be comfortable requesting incident reports from department administrators and sorting incoming mail.
The role demands comprehensive handling of subpoena/records requests including maintaining cases, and copying, requesting, or sending out records. Managing form and pamphlet orders, organizing them, and revising or creating forms as necessary, will also be fundamental parts of the role.
The job requires an organized individual with strong multitasking abilities who can handle tasks of the utmost confidentiality.
Job Duties:
- Review incoming new injury incident in a general mailbox & send out email replies using templates
- Set up new workers’ compensation claims
- Enter & update claim management system (iVOS) with incident details
- Create new leave cases using Service Now case management system
- Manage the Workers’ Compensation and Leaves email box
- Enter work status reports into claims management systems
- Answer phone calls & direct callers appropriately
- Calls to multiple departments, clinics, supervisors
- Request incident reports from department administrators
- Sort incoming mail, Scan/Email
- Subpoena/records requests – maintain case, copy/request/send out records
- Order forms/pamphlets and organize
- Revise, create and fill out forms
- Call OIT to fix computer problems/ Sedgwick or other persons
- Create documents
- OSHA- log updating
- Closing claims - pulling files, creating closed listing, purging files
- Order office supplies
- Create and maintain electronic file cases
- Revise or create brochures
- Review websites and provide revisions to communications
Preferred:
- Knowledge of MS Outlook, Word, Excel, PowerPoint
- Knowledge of medical terminology
- Organized and detail oriented

Misconduct Disclosure Requirement:
