Student Assistant

SUMMARY:

Under direct supervision, the student assistant will perform general administrative duties in the department office, assist staff and faculty with assigned projects, and provide customer assistance at the front desk reception area.

PRIMARY RESPONSIBILITIES:

Administrative Duties

·      Filing, copying, and scanning instructional materials for faculty

·      Shredding documents that include sensitive information

·      Maintaining the database and spreadsheets through various methods, including data entry

·      Answering and transferring phone calls

·      Directing clientele: this may include students (incoming, undergraduate, and graduate), parents, faculty, and other guests

·      Maintaining the department’s office supply inventory (restocking and organizing)

·      Posting department flyers and posters in display cases, studios, and around campus

·      Loading the department’s office printers

·      Delivering and distributing external and internal campus mail to UCI administrative offices and academic departments

·      Maintaining distribution (check-in/out) of office equipment and keys

·      Assisting department staff with administrative processes and operations

·      Visiting studios to restock materials and lock up 

Occasional Duties

·      Typing various departmental forms

·      Assisting departmental faculty and lecturers with administrative requests and other projects as assigned

REQUIRED QUALIFICATIONS:

·      Valid work-study award

·      Strong organization, filling, and communication skills

·      Proficiency with computers & printers

·      Proficiency with Word and Excel

·      Ability to demonstrate professional behavior

·      Respect for confidential/sensitive material and information

·      Reliability

·      Ability to work occasional weekends during auditions.

PREFERRED QUALIFICATIONS:

·      Previous office or receptionist experience

·      Familiarity with the UC Irvine campus
